What you will be doing

  • Support the development and implementation of work processes and procedures such as engineering document control, transmittals/submittals, correspondence control, contract or vendor data management, standards management, project standards, and document numbering
  • Set up and manage document control workflows and approval cycles to ensure proper document routing, tracking, and review in accordance with project standards
  • Ensure the organized classification and document naming structure is followed to efficiently manage, locate, and store documents within the designated document repository, ensuring both accessibility and security
  • Maintain the document management system and ensure it aligns with the evolving needs of the project throughout its lifecycle
  • Oversee the intake, filing, revision control, retention, and distribution of project documentation including technical drawings, reports, and AutoCAD files
  • Provide guidance and day-to-day support to the document control team to ensure consistency and quality of document control practices
  • Support the Project Management Information Systems Manager in maintaining departmental procedures and implementing improvements when needed
  • Coordinate with internal teams and contractors to ensure timely and accurate document submissions
  • Ensure document control tools and equipment are operational and available to support team performance
  • Support the preparation and maintenance of vendor, construction, and engineering turnover documentation packages
  • Conduct regular audits to maintain consistency and accuracy in project records and ensure compliance with project documentation standards
  • Interface with engineering, procurement, construction, and quality teams to ensure document control processes are fully integrated
  • Ensure project stakeholders are properly trained on document control procedures and system usage
  • Leverage Power BI to develop dashboards and reports that track document control performance, compliance, and project submission metrics

What we are looking for

  • Bachelor’s degree in Engineering, Library and Information Science or other relevant discipline
  • Minimum of 3 years of experience in a similar role, preferably on large-scale infrastructure or construction projects
  • Demonstrated experience setting up document control workflows, processes, and document numbering systems
  • Proficiency in document control principles, practices, and tools (such as Aconex, Asite, or other EDMS platforms)
  • Strong understanding in Microsoft Office Suite (Excel, Word, Outlook) and collaboration platforms such as SharePoint, E-Builder and ProjectWise
  • Strong written and verbal communication skills and ability to work collaboratively across departments
  • Prior experience leading document control on projects delivered for the Ministry of Transportation of Ontario (MTO) is considered a strong asset
  • Familiarity with MTO documentation standards, records retention policies, and compliance requirements is an advantage
  • Demonstrated ability to lead process adoption and change management efforts across multidisciplinary project teams
  • Experience delivering document control training sessions and onboarding team members in the use of EDMS platforms and procedures
  • Experience preparing project documentation for audits, turnover packages, and regulatory compliance inspections
  • Excellent organizational skills and attention to detail
  • Willingness and ability to work on-site at our Markham, Ontario office for 18 months, followed by a transfer to the St. Catharines Ontario office.
  • Ability to work independently and manage priorities in a fast-paced environment
